Now that you’ve tracked your time, let’s evaluate how you have been spending your time.

Evaluating Your Time

You’ll use the information you’ve been collecting about how you spend your time to make different (and better) decisions about allocating your time.

According to brain research, people have a limited supply of mental attention before they have to “recharge” themselves. Recharging means taking a break from an activity, engaging in a different activity, eating a snack or a meal, taking a walk, or closing your eyes and relaxing for a few minutes. When we take the time to re-charge, we increase our ability to continue engaging in an activity.

Some people are more energized in the morning. That’s probably when they should do their most demanding work. Others may be more energized in the evening. Everyone is different, so how you allocate your time will depend on your personality, situation, nature of your business, and when you feel the most energetic.

Too many of us “power through” the day and exhaust ourselves by trying to do too much. When we do this, we spend MORE time working on things that could actually take LESS time. It’s the law of diminishing returns.

So, when we allocate our time properly, schedule important activities during our most productive time periods, and build in rest periods, meal times, and exercise, we maximize our energy and our time. Proper allocation of time can create more productivity and more efficiency.

The key to evaluating your time is to notice patterns, such as:

  • What distracts your attention?
  • Where do you spend MORE time than necessary?
  • How could you rearrange your schedule to be more efficient?
  • When during your day do you feel most productive?
  • When during your day do you feel unproductive?
  • What activities are unnecessary time-wasters?
  • When and how do you recharge your energy?
  • When do you eat meals, take breaks, and include physical activity (exercise)?

Now it is time to evaluate how you spend your time. Review the notes you’ve been taking about how you spend your time and ask yourself the questions that are listed above.

Write down your observations and insights in your tracking system.
