Now that you’ve tracked your time, let’s explore how to allocate your time for greater productivity and efficiency.

Allocating Your Time

Your schedule should be something that you put together purposefully, which ultimately becomes your guidebook for your day and your week. Many people who choose to keep “mental schedules” or approach time allocation with a “whatever happens, happens” frame of mind usually wind up being caught off guard and wasting hours of productivity. Your daily schedule should be proactively planned rather than being a free-flowing reaction to your daily circumstances.

Of course, you will experience distractions, emergencies, and shifting priorities that will affect your schedule. The idea of creating a set schedule is NOT to lock you into being inflexible. The purpose is to set a clear course for how you will spend your time, but with the understanding that you will course-correct as needed.

Imagine a ship that sets sail with a clear destination in mind. If all goes as planned the ship will stay on course. But, if an unexpected ocean storm appears, the ship will need to alter its course, which may lead the ship to a completely different route or create a delay. This is how you should be running your business – be clear about what you want to accomplish each day AND be flexible enough to navigate around the “storms” that will undoubtedly throw you off course.

The key to time allocation is to plan your daily schedule and set appropriate time limits on your activities and do your best to stick to them. Spending 20 minutes at the beginning of each week and 5 minutes at the beginning of each day to plan your schedule will improve your ability to prioritize and it will naturally increase your productivity.

Today’s Action: Allocate Your Time

Use the information you collected and evaluated to allocate your time for the next week. As you set up your schedule, consider the following suggestions:

  1. Review your strategic and functional goals, and use them as a guideline for how you will allocate your time.
  2. Schedule your MOST important business activities FIRST, during the times when you feel most energized.
  3. Include one hour each day to work on THIS program.
  4. Include 20 minutes at the end of each week to plan your schedule for the next week, and allow 5 minutes at the beginning of each day to review the upcoming day’s schedule and make changes to it.
  5. Don’t forget to include the following:
  • Meal breaks
  • Other breaks
  • Personal/family time
  • Exercise time

 

As the days and week progress, allow yourself the flexibility to adapt and modify your schedule. Priorities change, things come up, and some activities will take more or less time than expected.
